What Entrydesk keeps, where it sits and who can see it.
Version 1.0, 27 October 2026
1. Who is responsible for your data
For your account, billing and usage details, Entrydesk decides why and how they are used. For the documents you upload for your clients, Entrydesk acts on your behalf and follows your instructions. You are responsible for having the right to share those documents.
2. What we keep
- Your name, email address and organisation.
- The papers you upload, the pages made from them, and the fields, lines, codes and checks read from them.
- A record of changes: who changed a field, a code or an approval, and when.
- Usage counts, such as pages read and shipments created.
3. Where it sits
Your documents are stored on Amazon Web Services in Ireland, in the EU, and Entrydesk AI processes your data within the EU. That means your data leaves Nigeria.
4. What Entrydesk AI is sent
To read your pages, the page text goes to our cloud services in the EU. When Entrydesk AI suggests a code, it sees only the product description, the origin, the quantity and the unit. It does not see prices or company names.
5. Training
Entrydesk does not train on your documents unless you give separate written consent.
6. Who can see it
People in your organisation, by the role you give them. Each organisation's data is kept apart from every other organisation's. We use Amazon Web Services to store documents, read pages and run Entrydesk AI.
7. Your rights
Under the Nigeria Data Protection Act 2023 you have rights over your personal data, including to see it, correct it and ask for it to be deleted.
8. Data processing agreement
When you create an account you also accept the data processing agreement. It sets out what Entrydesk does with your clients' documents on your behalf.
9. Cookies
The public pages set no advertising or tracking cookies. The app keeps a sign-in cookie so it knows who you are.
